POSITION OVERVIEW

If you get a little thrill from order, structure, and making information easy to find, this could be your kind of role.
We’re looking for someone who loves turning complexity into clarity and sees records management as more than filing. It’s about building systems that help an organization work smarter, stay compliant, and protect important information.
In this role, you’ll help integrate department records into the corporate records management system and play a key part in ensuring records are well-organized, secure, accessible, and managed through their full lifecycle. You’ll work closely with departments across the organization, offering expert advice on classification, retention, security, and best practices, while helping staff feel confident using records management tools and processes.

What you’ll do
•    Lead the integration of department records into the corporate records management system
•    Help ensure compliance with records retention requirements and regulations
•    Review departmental needs and recommend records classifications, retention schedules, and security access groups
•    Run and analyze reports related to records security, access, and retention status
•    Advise departments on records management procedures and the use of the electronic records management system
•    Support the transfer of records to archives
•    Create training materials, user guides, and manuals that make records practices easy to understand
•    Deliver training sessions to staff across departments
•    Participate in records management projects and support the development and implementation of updated policies and procedures
•    Manage records at the records centre and archives throughout their lifecycle, including tracking, maintaining, transferring, and authorized destruction
•    Locate and prepare documents for release under the Freedom of Information and Protection of Privacy Act

EDUCATION AND EXPERIENCE
Grade 12 supplemented by a certificate in records management plus sound-related experience; or an equivalent combination of training and experience.

REQUIRED LICENSES, CERTIFICATES AND REGISTRATIONS
Class 5 Driver’s License valid in British Columbia

KNOWLEDGE, SKILLS AND ABILITIES
Considerable knowledge of the corporate records classification system and related information management principles and procedures.
Considerable knowledge of the rules and regulations governing the work. 
Considerable knowledge of the software applications used in the work. 
Considerable knowledge of business English, spelling, punctuation and arithmetic and of modern office practices and procedures.
Sound knowledge of corporate departmental functions in relation to the work performed.
Some knowledge of the Freedom of Information and Protection of Privacy Act.
Ability to coordinate the integration of records into the corporate records management system and recommend appropriate classification, retention schedules and security groups.
Ability to advise departments on established records management procedures, develop training and user materials, and deliver training.
Ability to search records for information.
Ability to prepare, maintain and control a variety of records related to the work.
Ability to work under minimal supervision.
Ability to perform physical tasks related to the work such as bending, lifting boxes, and climbing ladders.
