POSITION OVERVIEW:

The City of Maple Ridge is seeking a detail-oriented and knowledgeable Access to Information & Privacy Clerk to join our Police Services support team. This position performs specialized and technical clerical work related to processing requests for information in accordance with the Access to Information and Privacy Act. This position ensures compliance with legislation, RCMP policy, and established Memorandums of Understanding while supporting both internal staff and external stakeholders with expert guidance.

This role requires strong analytical skills, discretion, accuracy, and sound judgement. While work is performed independently within established procedures, unusual or complex matters are referred to a supervisor.

 

In This Role You Will:

Responds to requests under the Access to Information and Privacy Act, ensuring compliance with all legislative and policy requirements.

Analyzes and reviews records to determine what information may be released or withheld.

Assesses sensitivity of records and informs supervisors of potential issues.

Prepares third-party notifications, justifications for withholding information, fee estimates, and collects applicable revenues.

Processes criminal record check requests by conducting thorough searches across RCMP databases in accordance with RCMP policy.

Processes requests for the removal of fingerprints or photographs from criminal record files; verify approvals and notify applicants of outcomes.

Reviews departmental policies and procedures for compliance with the Act and advises management and staff as needed.

Liaises with external government agencies and police departments regarding legislative interpretation and related matters.

Provides information and assistance to internal and external clients related to rules, regulations, and procedures.

Conducts research and record searches for senior staff and supports the development of new or revised procedures.

Prepares, updates, maintains, and retrieves manuals, lists, and related materials manually and electronically.

 

DESIRABLE TRAINING AND EXPERIENCE

Completion of Grade 12 including or supplemented by commercial courses preferably supplemented with FOI training, plus considerable related experience, OR an equivalent combination of training and experience.

 

KNOWLEDGE, SKILLS AND ABILITIES

Considerable knowledge of the legislation, rules, regulations, practices and procedures governing applicable departmental operations and activities.

Considerable knowledge of business English, spelling, punctuation and arithmetic and of modern office practices and procedures.

Ability to interpret and apply the provisions of the Freedom of Information and Protection of Privacy Act.

Ability to make decisions in the light of established precedents and to exercise resourcefulness in dealing with new situations.

Sound knowledge of software applications used in the work performed.

Ability to prepare, maintain, update and retrieve a variety of lists, manuals and related materials manually and/or using a computer terminal, and to search for records and compile information.

Ability to establish and maintain effective working relationships with a variety of internal and external contacts and to provide advice, information and assistance to same.

Ability to communicate effectively, both orally and in writing.

Ability to work under pressure and to exercise tact and persuasiveness in dealing with contentious matters.

 

ADDITIONAL INFORMATION:

This is an auxiliary position with no ongoing schedule of hours.
