POSITION OVERVIEW:

The City of Maple Ridge is seeking a highly organized and professional Confidential Assistant to provide a broad range of confidential administrative, research, and clerical support to the Department Manager and RCMP Senior Management team. This role is integral to the effective functioning of the department and requires a high degree of discretion, adaptability, sound judgment, and attention to detail.
The Confidential Assistant is entrusted with sensitive labour relations, personnel, and operational matters. Success in this role depends on the ability to manage competing priorities, maintain confidentiality, and deliver high-quality administrative support in a fast-paced environment. Performance is evaluated based on the achievement of departmental objectives, service standards, and client satisfaction.


In This Role You Will:
Provide comprehensive administrative support to the Department Manager, Officer in Charge (OIC), RCMP Senior Management team, and department staff, relieving senior leadership of routine administrative tasks
Prepare and produce highly confidential correspondence, memoranda, presentations, spreadsheets, and reports based on research, drafts, or verbal instructions
Review documents for grammar, spelling, formatting, coding accuracy, and basic mathematical correctness
Coordinate calendars, meetings, and events by prioritizing schedules and managing appointments to ensure operational efficiency
Screen incoming calls and inquiries, responding to routine matters and directing complex issues appropriately
Ensure compliance with RCMP Act requirements by maintaining communication updates with complainants and implicated members during investigations
Support the Professional Standards Unit by coordinating confidential correspondence, managing investigation files, preparing documentation, and maintaining file security
Follow up with managers and staff to ensure timely completion of required information and responses to public or internal inquiries
Maintain secure filing and records management systems; update procedural manuals and departmental documentation
Manage spreadsheets and databases used for tracking operational information and produce reports as required
Prepare agendas, meeting minutes, memoranda, confidential reports, and other documentation
Provide administrative support related to sensitive, confidential, or politically complex matters
Assist with departmental budgeting by monitoring expenditures, processing invoices and expense claims, and reporting variances
Conduct independent research, compile data, and prepare draft reports using a variety of information sources
Provide administrative support to departmental initiatives, projects, and programs as required


REQUIRED QUALIFICATIONS:
Completion of an office administration diploma or degree from a recognized educational institution or an equivalent combination of directly related education, training, and experience.
Minimum of 3-5 years of diversified and progressively more responsible work in an administrative capacity within a similar environment.  
Ability to obtain and maintain a required RCMP enhanced security clearance.
Class 5 Driver’s License valid in the Province of British Columbia.
