POSITION OVERVIEW
The City is seeking a detail-oriented and compassionate Cemetery Services Coordinator to support the administration and daily operations of two municipal cemeteries. This role delivers administrative services of moderate complexity and helps ensure all cemetery activities are carried out in accordance with applicable legislation, bylaws, and City policies and procedures.
Reporting to a designated supervisor, the Coordinator works with considerable independence and sound judgment to organize day-to-day service delivery, support residents and funeral service providers, often in sensitive circumstances and contributes recommendations that strengthen customer service, operational practices, policy, and longer-term cemetery planning.
In This Role You Will:
Meet with families, funeral homes, and other representatives to discuss interment arrangements, marker options, ornamentation practices, and applicable bylaws.
Coordinate interment dates and times with funeral homes and cemetery staff.
Process the sale of cemetery lots, interments, markers, and related services; track payments and third-party services and obtain written verification.
Issue permits for burials, grave markers, plaques, and related installations.
Provide information and guidance to monument and marker companies regarding bylaws and interment requirements; review and approve marker requests and arrange for concrete foundation installations.
Coordinate with the cemetery caretaker to confirm lot availability and ensure graves, markers, and installations comply with bylaw requirements.
Develop, maintain, and update detailed records related to cemetery operations, including interments, disinterment, reservations, buybacks, and plot or niche transfers.
Prepare statutory declarations, commission documents, invoices, and related financial and administrative records.
Respond to inquiries, complaints, and requests from the public; resolve routine issues and refer unusual, complex, or policy-related matters to the supervisor.
Recommend improvements to cemetery operations, office procedures, policies, bylaws, fee schedules, and potential new services based on research, statistical data, and operational analysis.
Provide administrative support to the supervisor, including responding to inquiries related to the Park Gift Program.
Process Park inspection reports and work request orders, as required.
Perform miscellaneous clerical and administrative tasks, including payroll entries, advising staff of related issues, and ordering office supplies.
DESIRABLE TRAINING AND EXPERIENCE
Completion of Grade 12 including or supplemented by commercial courses plus sound related experience or an equivalent combination of training and experience.
KNOWLEDGE, SKILLS, AND ABILITIES
Considerable knowledge of the legislation, bylaws, rules, regulations, policies and procedures applicable to the work.
Considerable knowledge of modern office practices and procedures, record-keeping, and computer software applications as they relate to the work.
Sound knowledge of time-keeping regulations and related procedures.
Sound knowledge of spelling, business English and arithmetic.
Ability to work with minimal supervision.
Ability to exercise sound judgement and to make decisions in accordance with applicable guidelines.
Ability to liaise with a variety of internal and external contacts on matters related to the work.
Ability to deal effectively, courteously and compassionately with the public in supplying information and in explaining and interpreting bylaws and regulations.
Ability to identify the need for and recommend new services, policies and procedures.
Ability to prepare and maintain a variety of records, files and reports and to compose routine correspondence.
